The Industry Problem
In the United Kingdom, a client appointing a Tier 1 contractor expects weekly written progress reports, photographic records, programme updates against baseline, and instant notification of any issue that affects delivery. That is the standard.
In East Africa, the prevailing standard is a phone call when something goes wrong — if you're lucky. Clients with capital invested in a project have no reliable way to know whether the programme is on track, whether safety is being managed, or whether the quality of work meets the specification.
Benchmark built a system to close that gap. Not because it was required by procurement — because we believe clients deserve to know what is happening with their money.

The System
Each active site generates a daily entry covering five key data points. Entries are submitted by the site supervisor, reviewed by the director, and distributed to the client automatically.
Every working day, the site supervisor records what work was completed, how many operatives were on site, what plant was deployed, and what materials were used. This goes into the digital diary system by 7pm without exception. Benchmark directors review every entry before distribution.
Every diary entry includes site photographs timestamped and geotagged. This gives clients a visual record of daily progress, provides evidence of quality at every stage, and creates a permanent record that protects both the client and Benchmark in any future dispute about workmanship or programme.
Any site incident — however minor — triggers an automatic safety alert that is sent immediately to the site director, the managing director, and the client's nominated representative. Near-misses are reported the same way. We follow the principle that the safest sites are the most transparent ones.
Directors have a live dashboard showing the status of every active project simultaneously. RAG status (Red, Amber, Green) for programme, safety, and quality on each site. This is the same kind of programme visibility tool used by major European contractors to manage multi-site programmes — available here, in Zanzibar, today.
The system supports both English and Swahili. International investors and diaspora clients receive reports in English. Government clients and local stakeholders access the same information in Swahili — ensuring every party receives clear, unambiguous progress information in their working language.
Benchmark site staff, directors, and authorised client representatives can access the diary through a secure online portal. Project history, photographic archive, and programme tracking — all available in one place, on any device, from anywhere in the world.

When Benchmark is appointed on your project, you automatically receive access to the digital diary system for your site. Here is how it works from day one.
Contract signed. We create your project in the diary system and issue login credentials to your nominated representative.
From the first day on site, the diary is live. You receive a notification by 7pm every working day containing the day's report and photographs.
Log in from any device at any time to review the full diary history, photographic archive, and programme status for your project.
When the project completes, the full diary archive — every report, every photograph — is permanently accessible as a handover record and building history.
